Local energy company requires an experienced Office Administrator / Receptionist to join the team on a part time (20 hours), permanent basis. This role will be onsite within their Portlethen offices and on a job share basis - ideal days have been highlighted however ultimately flexible, based upon your requirements.

            

Main duties and responsibilities include:

                   

  • Ensuring the efficient running of internal and external communications e.g. receiving incoming calls/mail and dispatching outgoing calls/mails.
  • Providing general administration support including, but not limited to, out-going correspondence, emergency response rotas, distribution of documents (internal and external) and ensuring distribution lists and address directories are kept up-to-date.
  • Assisting in travel arrangements, (building) access, meeting room reservations, discipline activities and lunch orders.
  • Preparing and organising activities, events and meetings; preparing and distributing meeting minutes as directed.
  • Filing, processing, and maintaining relevant (department, project) information on company systems.
  • Focal point for facilities visits (e.g. utilities, air conditioning, IT and security) and escalating matters arising from facilities to the right department.
  • Assisting with key document manual and electronic filing and liaison with Document Control.
  • Administrative tasks associated with new staff and temporary personnel.

   

Applicants to this role require:

         

  • Demonstrable experience in a similar office admin / reception position.
  • Strong organisational skills and attention to detail.
  • Adaptable, flexible, and able to work both individual and as part of a team.
  • Excellent written and verbal communication and interpersonal skills.
  • Experience in Microsoft Office packages and applications.
