Facilities Assistant - VR/29390

Joining as Facilities Assistant, an opportunity has become available to support a local, reputable energy company within Aberdeen on a 12 month basis. Due to the nature of duties, this role would be ideal for an individual who is due to be finishing school or university and looking for some practical industry experience. Offices can be easily accessed by public transport or in walking distance if based within the city centre.

        

Reporting to the Executive Assistant, you will be supporting with a variety of administrative tasks including;

  • Answering the telephone, taking messages and passing these on.
  • Greeting and signing in and out visitors to the building, offering refreshments and announcing the arrival of visitors.
  • Accepting deliveries to the building, sign for packages and deliver/alert appropriate person of their arrival. Also dealing with contractors to the building, i.e. fire alarm maintenance, air conditioning, recycling etc.
  • Tracking the visitor car parking.
  • Stock checking all office stationery supplies and ordering as and when needed.
  • Post outgoing mail and where necessary, take mail to the post office obtaining receipts and proof of purchase. Responsibility of distributing incoming mail and booking Couriers when required.
  • Booking refreshments/lunches for delivery to the building as required.
  • Booking taxis as required and supporting with offshore travel bookings.
  • Organising food related stock for team and setting up coffee machine, ordering/purchasing supplies when needed.
  • Organising the payment of invoices.
