A key role within a fast-paced team, this PERMANENT vacancy is best suited to highly-organised, administration-focused individuals with working knowledge of the offshore industry.

    

Overview

  • You will provide administrative assistance to the Crewing Team, whilst working closely with Recruitment, HR and Operations Teams.
  • You will gain oversight of the entire personnel mobilisation/demobilisation process, ensuring the function runs smoothly and efficiently.

          

Main duties and responsibilities

  • Assisting the Crewing Team with project crew allocation, scheduling and facilitation of crew changes.
  • Assisting with arranging travel and accommodation and any other logistical requirements for project personnel, focusing on cost-effective solutions to meet commercial goals.
  • Recording offshore personnel movements for projects, recording accurate crew changes, training, crew availability and project uplifts.
  • Maintaining offshore personnel records and certification, performing competency validations as required.
  • Assisting with the process of obtaining second passports, visa applications and work permits.
  • Assisting with validation and approval of offshore personnel timesheets and expense claims, highlighting any payroll queries.
  • Recording offshore personnel holidays or leave requirements.
  • Ordering, logging and arranging delivery (if necessary) PPE requirements for offshore personnel.
  • Assisting with preparing project assignment conditions, travel letters and any other necessary documentation for travel or projects.
  • Raising purchase orders and validating costs.
  • Updating and formatting onshore and onshore/offshore personnel CVs to company standard.
  • Providing administration support for training, development and competencies for offshore personnel.
  • Maintaining up-to date project documents and vessel briefs.
  • Assisting with project-specific tasks and new business initiatives, offering suggestions for increased crewing efficiency.
  • Contributing to the weekly Crewing meetings.
  • Participating in out of hours on-call rota.

           

Applicants to this role require

  • Demonstrable experience in an administrative role, ideally within a Crewing team or offshore environment.
  • IT and systems proficiency.
  • Strong organisation skills, with the ability to work at pace and juggle conflicting, ever-changing priorities.
