Supporting a local client within the life sciences sector, we are currently sourcing an experienced Front of House candidate who is looking for a new challenge based within the heart of Aberdeen. This role will initially be on a temporary basis and ideally looking for someone who is immediately available. You must hold previous experience in a reception / admin role due to the nature of duties, and ideally hold experience at a supervisory level.

              

Reporting to the Director of Life Sciences, the purpose of this role is to ensure the delivery of a successful customer service and support of company facility. As Front of House Lead, you will be responsible for helping build the local community and lead the front of house team.

            

Main duties and responsibilities

  • Providing a full reception service for all visitors and tenants. Ensuring the reception and coffee areas are organised, fully stocked, and kept tidy.
  • Acting as the first point of contact for staff, facility users, tenants and the facilities management company whilst also liaising with third party contractors.
  • Supporting internal and external meetings and events (physical, virtual and hybrid) onsite.
  • Overseeing the re-ordering of office consumables, general and catering supplies.
  • Managing access to the car park for deliveries, contractors and car parking as required.
  • Creating purchase orders, issuing invoices, and liaising with the Commercial and Finance Team, updating corporate systems as required.
  • Responsible for overseeing rental agreements.
  • Assisting with building induction for new tenants and keeping corporate systems up to date.
  • Providing cover for the events co-ordinator team member, including the provision of AV support, liaison with catering suppliers etc. whilst also supporting with the supervision of the Front of House / Events Coordinator.
  • Supporting the Director of Life Sciences in the development of facility processes and reviewing regularly.

           

Applicants to this role require

  • Proficiency in Microsoft Office, Word, Excel and PowerPoint, and ideally all digital and social media platforms.
  • Experienced in managing internal and external customer relations.
  • Strong organisational and planning skills.
  • Team player and ability to work closely in a small team.
  • Adaptability and the willingness to be flexible in working hours
