An international energy sector organisation is seeking an Executive Assistant for a permanent position based in Aberdeen. Supporting senior leadership while overseeing office services operations, this role combines high-level executive administration, stakeholder coordination, international travel management, and supervision of office support functions within a fast-paced, globally focused business.

     

Overview:

Reporting directly to the CEO and CFO, the Executive Assistant will provide comprehensive support to while acting as a key coordination point across the wider organisation. The role combines executive-level administrative support and supervision of an Office Services Coordinator. This position plays an important role in ensuring the smooth running of executive activities, internal communications, board coordination and day-to-day office support services.

      

Main Duties:

  • Provide high-level administrative support, including diary management, meeting coordination and international travel arrangements.
  • Prepare presentations, reports, correspondence and board meeting materials while acting as a key liaison between executives and internal and external stakeholders.
  • Manage executive expenses, documentation and business support activities, ensuring priorities are handled efficiently and confidentially.
  • Oversee office services, including facilities, supplies, equipment, meeting rooms, vendor relationships and administrative budgets.
  • Supervise the Office Services Coordinator and support the delivery of company events, town halls and office-wide communications.

      

Applicants Require:

  • A minimum of 10 years' administrative support experience, including at least 5 years supporting Senior Executives.
  • Advanced proficiency across Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, SharePoint and Teams.
  • Excellent communication, organisational and stakeholder management skills, with the ability to manage competing priorities.
  • A high level of discretion, attention to detail and sound judgement when handling confidential information.
  • Previous oil and gas industry experience is preferred.
