Operations Administrator - VR/32660

A growing offshore and energy services organisation is seeking an Operations Administrator to join its team in South Aberdeenshire. Supporting both Projects and Operations, you'll be involved in a diverse range of activities including administration, document control, stakeholder coordination and project support. This is an excellent opportunity for an organised and proactive individual looking to develop their career within a fast-paced and collaborative environment.

      

Main Duties:

  • Coordinating travel and accommodation arrangements for operational and project personnel.
  • Preparing reports, workshop routings, document packs and general business documentation.
  • Supporting project teams by obtaining supplier quotations and pricing information.
  • Raising requisitions and quotation references in line with project requirements.
  • Maintaining accurate project records and ensuring documentation is correctly stored and updated.
  • Providing document control support to ensure information is managed effectively and compliantly.
  • Organising meetings, preparing agendas and recording meeting minutes.
  • Liaising with clients, suppliers and third-party providers to support project and operational activities.
  • Assisting with the expediting of materials and services through effective communication with internal and external stakeholders.
  • Providing general administrative support and acting as a key point of contact for enquiries via phone and email.

              

Applicants Require:

  • Previous experience within an administrative, operations support, project support or document control environment.
  • Strong proficiency in Microsoft Office applications, particularly Word and Excel.
  • Excellent organisational skills with the ability to manage multiple tasks and competing priorities.
  • Strong written and verbal communication skills.
  • The ability to build and maintain effective working relationships with colleagues, suppliers and customers.
  • Good analytical and problem-solving abilities.
  • A proactive and flexible approach to supporting business operations.
  • High levels of accuracy and attention to detail.
  • A strong commitment to safety, quality and continuous improvement.
  • Excellent time management skills and the ability to work both independently and as part of a team.
