A permanent Personal Assistant role supporting a Managing Director and wider Leadership Team, combining executive support, business coordination and KPI reporting within a fast-paced environment.

     

Main duties and responsibilities:

  • Manage the Managing Director’s diary, appointments, meetings and key commitments, prioritising activity to support effective use of time. 
  • Coordinate travel, accommodation, events and external engagements when required. 
  • Manage correspondence, documentation and information on behalf of the Managing Director, handling confidential and commercially sensitive material appropriately. 
  • Organise leadership, departmental and key business meetings, preparing agendas, reports and supporting information in advance. 
  • Attend meetings when required, take minutes, maintain action logs and follow up with responsible individuals against agreed deadlines. 
  • Liaise with departmental leads to gather updates and reports, coordinate cross-department activity and support clear information flow between teams. 
  • Run and maintain departmental and company KPI reporting, including dashboards, trackers and weekly or monthly performance information. 
  • Monitor performance against agreed objectives, highlighting overdue actions, areas of concern or matters requiring further review. 
  • Maintain a central record of Managing Director priorities, projects, deadlines, milestones and business-critical dates. 
  • Support special projects, business improvement initiatives, research, information gathering, business cases, internal communications and management or board reporting as required. 

      

Applicants to this role require:

  • Strong organisational skills, excellent attention to detail and the ability to manage competing priorities and deadlines. 
  • A proactive approach, with the confidence to anticipate requirements, work independently and use initiative. 
  • Clear written and verbal communication skills, with the confidence to liaise with employees at all levels and follow up agreed actions. 
  • The discretion and judgement needed to handle confidential and commercially sensitive information. 
  • Commercial awareness and an interest in understanding how different areas of a business operate. 
  • Confidence working with data, KPIs and management information. 
  • Strong Microsoft Office skills, particularly across Outlook, Excel, Word and PowerPoint. 
  • A professional and approachable manner when dealing with customers, suppliers and external stakeholders.
