Project Administrator - VR/32442

Join a global organisation operating within a large-scale energy project environment, supporting a busy project delivery team in a fast-paced, highly visible role. This position plays a key role in coordinating day-to-day project administration, onboarding, logistics, and team support activities, working closely with internal stakeholders and external providers. Due to the immediate demands of the project, this role will best suit candidates available at short notice or with immediate availability.

     

Main duties and responsibilities

  • Providing day-to-day administrative support to the project and wider Operations Team.
  • Coordinating onboarding activities for new starters, including access, inductions, equipment, and workspace setup.
  • Arranging travel, access passes, and site requirements for staff and visitors.
  • Organising meetings, workshops, and project-related activities.
  • Managing office logistics, including supplies, facilities coordination, and equipment requirements.
  • Liaising with external vendors to coordinate services such as catering, transport, and office provisions.
  • Supporting document preparation, formatting, and version control across project documentation.
  • Maintaining accurate project records, including personnel tracking and contact information.
  • Assisting with internal reporting requirements and project updates.
  • Supporting planning and delivery of team events and project initiatives.
  • Ensuring project systems and records are kept up to date and aligned with internal processes.

        

Applicants to this role require

  • Previous experience in a project administration or coordination role (ideally within a structured project environment).
  • Strong organisational skills with the ability to manage multiple tasks and competing priorities.
  • Excellent attention to detail and ability to manage complex information accurately.
  • Proficiency in Microsoft Office packages.
  • Ability to work independently while also contributing effectively as part of a team.
