Quotes & Tender Coordinator - VR/32500
Join a specialist engineering and manufacturing business supporting customers across the global energy sector. This role coordinates the preparation and submission of quotations, proposals and tender responses, working closely with commercial, operational and technical teams to ensure submissions are accurate, compliant and delivered within required timescales. From initial enquiry through to final submission, the position is involved in bid preparation, stakeholder coordination and client engagement throughout the tender process.
Key Responsibilities:
- Review customer enquiries and tender documentation, identifying requirements and submission deliverables.
- Coordinate tender and quotation activities, ensuring responsibilities, inputs and key dates are clearly defined.
- Liaise with technical, commercial and operational teams to gather information required for submissions.
- Prepare, compile and submit quotations, proposals and tender responses in accordance with client requirements.
- Review information received from internal stakeholders, ensuring responses are complete, accurate and aligned with bid requirements.
- Maintain responsibility for bid clarification activities, coordinating responses and managing communication with clients throughout the tender process.
- Prepare qualification statements, exclusions and supporting commercial information where required.
- Maintain and develop standard tender support documentation and information packages.
- Ensure all submissions are completed in line with required timescales and internal procedures.
- Support sales order entry and amendments within business systems.
- Assist with workload planning and coordination across the wider team.
- Ensure compliance with relevant quality, health, safety and business requirements.
About You:
- Experience preparing and coordinating quotations, proposals or Invitation to Tender (ITT) responses.
- Strong organisational skills, with the ability to manage multiple deadlines and competing priorities.
- Experience coordinating information and input from multiple departments and stakeholders.
- Strong written communication skills and attention to detail.
- Experience managing bid clarification processes and client communications.
- Familiarity with qualification statements, exclusions and commercial considerations within tender submissions.
- Good general IT skills, including Microsoft Office applications.
- Experience within a commercial, tendering, proposals or technical coordination role.
- Understanding of offshore or subsea operations and associated terminology would be advantageous.
- Knowledge of contractual terminology would be beneficial.
